Our client needed to manage a student dorm with more than 300 bedrooms in a smart and efficient way.
Before the implementation of Scops, the issues reported by students were handled via calls or emails through the dorm reception. This process was not immediate for students and, at the same time, it was not effective for facility managers to manage manually assets that are constantly used by students in all the apartments and common areas of the dorm and track the associated maintenance interventions.
Also, it was impossible for the facility managers to get insights from the data to understand, for example, what were the most common issues or the most problematic areas of the building.
Thanks to Scops, our client was able to digitize more than 3000 pieces of equipment, rooms, and appliances, creating a digital profile for each of them. The software also allowed them to easily generate and print QR-codes for every asset. Thanks to this functionality our client could stick a label with a QR-code on the most important assets of the dorm such as bedrooms, kitchens, laundry, and study rooms. Now, whenever something is not functioning well and a student wants to report the issue, all they need to do is to scan the QR-code to fill out a simple form, quickly open a ticket and request a maintenance intervention.
The school maintenance team can then easily see all the open tickets, assign a work order to a technician and easily keep track of all maintenance activities.
Once on the field, the maintainer can use the same QR-code scanned by students to access the details of the single asset on its dedicated digital profile, consult the manuals and documentation attached, see the history of interventions carried out on the asset and log the activity he/she is performing.
All the data on issues, interventions, checks, and measurements collected on the field are then easily accessible to the maintenance and facility managers that can now control what is going on in the building through intuitive and interactive dashboards.
Scops also provides them with actionable maintenance and performance insights such as the most common issues, the most problematic areas of the building, and the workload distribution among the maintainers. All this information help them optimize the performance of the building and streamlining the maintenance intervention process.
